PKRA Overview of MotorsportReg

 

PKRA has set up MotorsportsReg for individuals and families to purchase PKRA Memberships and enter PKRA Club Race Entries.  PKRA is managing Memberships within MotorsportReg by setting Membership status on individual profiles.  PKRA requires the completion of the following MotorsportReg profile data for specific purposes:

  • PKRA requires MotorsportReg profiles for each Primary Member and Member Driver.  These are used to keep track of the PKRA Membership status.  Membership status is used in Race Entry to automatically determine discounts.
  • Your email address is used for almost all business communication from PKRA staff as well as MotorsportReg confirmation and reminder emails.  Profiles created from a single account will have the same email address by default, and won't have separate logins.  The email can be changed, and you may request we then create a login account for that profile.
  • Emergency Contact information is required for obvious reasons, and will be made available to track personnel.
  • Phone Number may be used by PKRA staff if needed, but the preferred method of contact remains email.
  • Mailing Address is used for mailing membership cards.
  • Birth date is used for verification of the Primary Member age requirement and child class applicability, and is a long standing membership requirement.
  • You must create or update a MotorsportReg account, and a profile must be created for each driver and associated with PKRA.  These profiles can be managed by the Primary Member using  Account Relationships.  The "parent" profile can register any of the "child" profiles, including race registrations and membership purchases.
  • We have split out the selection for the base membership and the first driver, with the total cost being the same.
  • If you or a family member will race at PKRA Club Races, you'll need to set up at least one vehicle for us to pull the transponder number from.
    • If you rent a transponder, you will still need to set up a vehicle and leave the transponder field blank.
    • If you set up multiple vehicles, you may use the free form color field to identify each since that field is shown on vehicle selection;  it may make sense to put the transponder number redundantly in the color field.
    • These vehicles are available for use in registration by any of the family member drivers.
  • Members may reserve a kart number for a particular driver and class by emailing This email address is being protected from spambots. You need JavaScript enabled to view it. Preference will be given to those with prior use of that number, so please review past points or race results to find an unused number before making a request. Also keep in mind that once reserved, that number cannot be used in that class by another driver outside of your Account Relationship (normally family membership). Don't reserve a number if you expect to share your kart outside that group without changing the number. These reservations may be visible to other members and likely the public.
  • Meeting Minutes will be posted to Club Meeting Events and will be restricted to active members.
  • Basic Race Registration information (name, class, number) will be visible to the public.


Support
Supportfor account management and payment is provided by MotorsportReg through self help functions, documentation, and email support.  Support for Membership status and specifics of event registration is provided by PKRA through links to the event Registrar.

PKRA Migration to MotorsportReg

PKRA is in the process of migrating from our current web purchasing to MotorsportReg.com.  

Reasons for Change
Our previous product, Magento, has not been upgraded in years, and as is will not meet credit card processing requirements (PCI certification) this fall.  Upgrading and ongoing support for Magento are cost prohibitive.  Several functions in our implementation are currently broken, and it's not practical to fix them.  

Rewriting with a different tool was explored, but would ultimately suffer from the same support issues. Using a third party product will significantly reduce our support requirements and overall risk. MotorsportReg was evaluated against it's nearest competitor and was found to better meet our needs and at lower cost.  Many other karting and autosports groups use MotorsportReg, and user account/driver profile information may be shared aross the multiple organizations.

We previously managed memberships manually in a spreadsheet, and there was no intelligence in the system to set options based on membership status.  Using MotorsportReg allows maintaining the membership status entirely in the system, and using the Account Relationship capability allow parents / primary members to manage registrations / purhcases on behalf of family drivers.

Idiosyncracies
While MotorsportReg is clearly the best alternative, there are a number of restrictions as well as additional functionality beyond what we previously had.

  • You will need a MotorsportReg Account, and profiles for each Family Member Driver.  There will be no logins to the PKRA site itself, which will be used to display static content only.
  • MotorsportReg Memberships are created as events for set dates. The PKRA membership administrator will need to adjust each one as members join or renew.  Note that messages to members will be misleading regarding the dates.
  • The proper profile must be used to register the right person.  This includes Membership - Family Member Drivers must be registered through their own profile.  In most cases, this will be done by the Primary Member through a single login.
  • Due to the manual effort required by the PKRA membership administrator, there will be some delay before the system shows the membership as valid to get discounts. Users won’t be able to join/renew the last minute.
  • Family members can be registered in a single transaction, but there is no way to give a multi-driver discount (multi-entry discount for an individual driver does work).
  • We split the Driver Fee (e.g. current $50 each) from the base membership instead of including one driver (e.g. at current pricing Bronze Primary Membership base would be $190, but at least one Member Driver would need to be purchased at $50).
  • For proper race entry operation and validation, users will need to create at least one vehicle, and enter their transponder number if they have one. If someone rents, they still need to create a vehicle, leaving the transponder number blank, but need to do only once.  Vehicles may be shared amongst those in an "Account Relationship".
  • Discounts can be fixed dollar amount or % of entire order, but not just free race entry.
  • Amex will charge 4% instead of 3%. There is no way to pass that on to the purchaser.
  • Users will be able to change registrations up until the close of registration.
  • We will be assigning all family members exactly the same membership number (no suffixes for family member drivers).  This is the tie for family memberships.

Timeline
The timeline for implementation is as follows:

  • Begin using MotorsportReg exclusively for Membership - That is now the master data.
  • Begin using MotorsportReg events for club meeting and publish minutes there - June  
  • Begin using MotorsportReg exclusively for Race Entry - July 1 (for Race #7, July 13)
Common Issues:
  • Duplicate Account Profiles. This may be confusing for you - only one carries the membership.
  • Missing Primary Member profile.  This is beyond what other groups require because of the PKRA Family Membership concept, and our use of MotorsportReg as the master record of membership.
  • Missing Family Driver profile.  Registration pulls information from the particular driver's profile.
  • Creating a profile and not adding Phoenix Kart Racing Association.  PKRA can't see your profile unless it is associated with PKRA, though we can add it if we know the email address.
  • Missing Birthdate.  This is used to validate both Primary Members and Drivers.
  • Missing Emergency Contact Information or yourself listed.  No one expects accidents to happen, but we won't know who to contact if you don't provide it.
  • Requesting kart number reservation before driver profile set up.  Kart Number Reservations are tied to a specific profile, even though they can be shared with others in the same "Account Relationship".
  • Not setting up vehicle to pull transponder from.  You will be prompted during race registration to create a vehicle to pull your transponder number from, even if you rent your transponder.

Support

PKRA Membership Purchases Through MotorsportReg

PKRA Memberships are purchased or renewed online through an "event" on the MotorsportReg site.  This event can be used to Add Family Drivers to a Membership, and/or to Add up to two Front Row Club Race Pit Spots.

Please note the following rules and restrictions:

  • You must purchase at least one driver to receive driving benefits (race or practice discounts)!  This may be yourself or another family member, but without a driver, the membership has very little value.  We split this out the first driver to allow parents the option of not paying for themselves as drivers.  Switch to a different Driver profile to add that Driver before checking out (select Add another person to this event).
  • All memberships are for a term of 1 year.  Memberships nearing expiration (e.g. 1 month) may be extended for an additional year.
  • A Primary Member must be at least 18 years of age, and will have voting rights.  The Primary Member manages the membership for themselves and any other family members.
  • Multiple Family Member Drivers may be associated with a single Primary Membership, at dramatically reduced prices over separate memberships.
  • Again, One or more drivers must be added to a membership to take advantage of the driver benefits (we have split this out as a base membership and the first driver).  This can be the Primary Member and/or family members (directly related or living in the same household).  Remember to add/extend family member drivers when you renew/extend your membership.
  • You must Create or update a MotorsportReg account and add the club membership for Phoenix Kart Racing Association (this just associates the account / profile with the club) before you can purchase a membership. You normally use the same account for other motorsports registrations.
  • Each Family Member Driver must have their own profile.  It can be created and managed by the Primary Member (through a MotorsportReg "Account Relationship").  Also add the club membership for PKRA (otherwise it is not visible to PKRA).  These family member profiles must be used to add that Driver as a Family Driver through this Membership purchase event, and later register for races as applicable.
  • The processing of membership purchases cannot be automated at this time, so the volunteer PKRA Membership Administrator will need to create or update your membership based on your purchases.  Please allow for up to 5 business days for this manual processing.
  • MotorsportReg currently supports only membership purchases through events which must have specific dates.  Therefore, please ignore the portion of the messages that refer to time frame.  The PKRA Membership Administrator will update your membership expiration date to one year from purchase or current expiration date as applicable.
  • Family Driver and Pit Spots may be added to the Primary Membership later on, but they expire with the underlying Primary Membership.  You may also upgrade from a Bronze to Silver Membership, but the expiration date will not change.  There is no mechanism for proration.  Making an addition or upgrade later in a membership may therefore not be to your advantage from a cost perspective.  
  • If you are close to expiration and wish to renew but change from Silver to Bronze, you cannot extend your membership.  Please wait until your membership expires before renewing.  If this will create difficulty in registering for a race, please contact membership@pkra for assistance well prior to expiration.
  • Reserving a Pit Spot applies only to Club Races (not practice, and not outside races).  Reserving a Front Row Pit Spot can be advantageous from a cost perspective if you race frequently, but also reserves your particular spot.  Back row spots are free on race day, but you may reserve a particular pit spot.
  • Meeting Minutes will be posted to Club Meeting Events and be viewable only be active ("Approved") Members.
  • Membership lists with primary member names, expiration dates , membership levels, family member drivers, and pit spot reservations may be available to the public through the PKRA and/or MotorsportReg web sites.

As a member by the Phoenix Kart Racing Association (PKRA) I, my family, coaches, mechanics, and guests agree to abide by the by-laws, rules and regulations of the organization. I understand that my membership entitles me and the registered members of my family to participate in PKRA Club events. Events held by others at the track may require additional membership in another body for participation. I understand that PKRA events, technical rules and regulations will follow those of the IKF, Briggs, SKUSA, COTA, Honda, or other bodies and it is my obligation to obtain  these rules and regulations.

PKRA Club Race Entry Through MotorsportReg

The MotorsportReg event for PKRA Club Race Entries are used for discounted online pre-registrations.  You will receive member pricing automatically if you have an active PKRA Membership that doesn't expire prior to the race.  (Please allow up to 5 business days to join or renew your membership).  

You must have a MotorsportReg account before you can register for this race, but you do not need to be a member.  You may use the same account for other motorsports registrations.  PKRA requires Emergency Contact Information and Birth Date.  We will need a vehicle defined to pull the transponder number from (create a vehicle and leave transponder blank if renting).

PKRA follows IKF rules. Please familiarize yourself with PKRA racing requirements at https://www.pkra.com/racing and class specifications at https://www.pkra.com/racing/classes before you register.

A transponder is required for racing.  You can use your own or rent one from PKRA.  

Wristbands must be purchased and worn for anyone in the pit area (anywhere karts are) and is an insurance requirement.  Wristbands for the driver are included with registration.  A public spectator area is available with bleachers outside this pit area.

Registration will use the contact information (including birth date for age verification), emergency contact information, and vehicle transponder from your profile.  Please make sure this information is current.  If you rent your transponder, you'll still need to create a vehicle, but leave the transponder number blank.

Up to two Front Row Pit spots may be purchased for this race only through this registration (subject to availabilty).  Members may alternatively choose to purchase up to two race day pit spots for the duration of their membership through the membership event.  Back Row pit spots are free on race day, but may also be reserved with membership.  See https://www.pkra.com/racing/pit-map for Membership Pit Spot Reservations

Fuel cans and Tires must be taken with you.  They cannot be left at the track.
